How to Choose a Wedding Venue: What to Check on the Site Visit

The photographs tell you almost nothing. These are the questions that decide whether your design is actually possible.

Banquet hall laid out ahead of an event

Venue selection is the single most constraining decision in a wedding. Almost every design limitation you will run into later was decided the day you signed the venue contract.

Capacity, honestly assessed

A hall rated for 500 is rated for 500 seated in one configuration. Add a stage, a buffet, a dance floor and a lounge, and the comfortable number drops sharply. Ask for a floor plan with your specific format drawn on it before you believe the capacity figure.

The setup window

Ask exactly when your vendors can enter and when they must be out. A venue with a same-day setup window cannot host a heavy floral or fabrication build, no matter what the moodboard says. This one answer eliminates or enables entire categories of design.

Vendor restrictions

  • Is outside catering permitted, or is the kitchen exclusive?
  • Are there empanelled décor or production vendors you must use?
  • Is there a charge for bringing your own vendors?
  • Are there restrictions on open flame, fireworks, hanging loads or floor fixing?

Power, sound and curfew

Confirm available load, whether a generator is included or chargeable, and the noise curfew. An outdoor sangeet that must stop at 10pm changes your entire running order — better to know before you book the band.

Guest flow

Walk the route a guest takes: parking, entry, welcome, seating, washrooms, food, exit. Bottlenecks that are invisible in an empty venue become very visible with 400 people in it. Pay particular attention to washroom counts and the distance from the parking area for elderly guests.

Weather and the backup plan

For any outdoor function, ask what the indoor alternative is, how long a changeover takes, and who makes the call. Get the answer in writing. A backup plan that exists only in conversation is not a backup plan.

Book the venue that fits the wedding you are planning — not the wedding the photographs on their website were planning.

Our team handles venue shortlisting, recces and negotiation as part of full wedding planning. If you are between two options, we are happy to look at both.
