Hiring a Corporate Event Planner in Delhi NCR: What to Brief and What to Check
Annual days, dealer meets and conferences in Delhi NCR: how to brief an agency properly and what procurement should check before the PO.

Corporate events go wrong in a different way to weddings. Nobody cries. What happens instead is that the registration queue runs forty minutes, the MD’s microphone fails during the opening, and half the room leaves before the awards because dinner was late.
All three are briefing and planning failures, and all three are avoidable. Here is how to brief a corporate event planner in Delhi NCR properly, and what to check before a purchase order goes out.
Start with the business objective, not the format
The most useful brief we receive is not "we need an annual day for 700 people". It is "we have had high attrition in our mid-management this year and we want them to feel seen".
The objective decides the format. Recognition-heavy? The awards segment gets the best slot and the most rehearsal. Retention and culture? Employee performances beat a hired celebrity almost every time. Channel and revenue? The networking time is the event, and the sessions are the excuse.
What a complete brief contains
- Objective and the audience you most need to convince.
- Date, or a window, and whether it is fixed.
- Headcount, and the split between Delhi NCR and outstation.
- Budget range — a real one. An agency that does not know it cannot design responsibly.
- Venue, if fixed. If not, say so; venue choice changes everything downstream.
- Format: awards, conference, town hall, dealer meet, offsite, family day.
- Whether alcohol is served, and whether spouses and families are invited.
- Internal approvals: who signs off, and how long that usually takes.
Delhi NCR specifics worth naming in the brief
A few things reliably bite corporate events in this market:
- Traffic and start times. A 6 pm start in Gurgaon for a team travelling from Noida is a 7:15 pm start in practice. Either move the time or arrange transport, but decide consciously.
- Winter fog, late December to January. Outdoor evening formats and outstation air travel both get unpredictable.
- Noise cut-off. If there is a live band or DJ, the venue’s cut-off decides your running order. See our guide to permissions and noise rules.
- Alcohol permissions, which vary by venue and are usually the venue’s licence, not yours — confirm it is in place rather than assuming.
What to check about the agency
- 01Have they produced your specific format before — not just "corporate events", but awards, or a dealer meet, or a 700-person annual day?
- 02Do they own or hire production? Either is fine, but you want to know who is accountable when the LED wall fails.
- 03Will they run a full technical rehearsal, cue to cue, with the actual presenters?
- 04Who is the on-site producer, and how many other events does the company have that week?
- 05Can they provide itemised costing, vendor documentation and proper GST invoicing for your finance team?
- 06What is the change-request process once the scope is signed?
A well-produced corporate event looks effortless from the third row. That is the entire job.
The three things that most often fail
Registration
Arrivals bunch. Staffing a desk for average arrivals rather than peak arrivals is how you get a queue. Ask how many counters, staffed by how many people, and whether pre-registration and badge printing are in scope.
The awards segment
Count your categories and multiply by ninety seconds. Over forty minutes and the room starts to drain. Either split the segment across the evening or move some categories to a departmental ceremony.
Rehearsal
Almost every visible on-stage failure is a rehearsal that did not happen. Cue-to-cue on AV, content and lighting, plus a walkthrough with every person who will stand on that stage. Senior leaders in particular are worth twenty protected minutes.
What procurement should ask for
- Itemised quotation by head — venue, F&B, production, décor, entertainment, manpower, management fee.
- Clear list of exclusions and assumptions.
- Named vendors for major line items, with documentation.
- Payment schedule tied to milestones, not dates alone.
- Cancellation and postponement terms.
- Proof of insurance and, where relevant, safety compliance for rigging and structures.
We produce annual days, award nights, conferences, dealer meets and town halls across Delhi NCR and beyond — see corporate event management, or request a proposal with your objective, date and headcount.
